Shipping and Receiving Lead / Service Supervisor

This is a Full-time position in Annandale, NJ posted July 7, 2020.

Location: Annandale, NJ

Administrative Support

  • Provide direct administrative support to the Client Facilities Director including file management, and office organization as needed.
  • Maintains reports and performs administrative and technical duties which require knowledge of the department, the facility, and the company along with current policies and procedures.
  • Performs diversified duties including report preparation, oversight for shipping reports.

Monthly Reporting

  • Provide monthly reporting data. Inbound/outbound tracking. Trend tracking by building.
  • This may include special events scheduling & coordination with customer and JLL personnel
  • Pay all shipping charges (up to $200K/month) via company pCard, cross-charge site business units accordingly, and reconcile invoices with monthly statement
  • Manage S&R supply inventory, including packaging, tools, and other peripherals

Leader Oversite responsibilities

  • Maintains reports and performs administrative and technical duties which require knowledge of the department, the facility, and the company along with current policies and procedures.
  • Ability to direct the work of others, including providing feedback on safety performance
  • Performs diversified duties including report preparation, data collection, and shipping reports.
  • Follow administrative processes within department and makes recommendations to implement process improvements.
  • May work on confidential or sensitive information, typically of a technical nature.
  • Establishes and maintains an appropriate filing system to receive needed materials quickly.
  • Provide daily supervision and delegation of work tasks to S&R staff and ensure adequate coverage for:
    • Research sample receipt and registration
    • Loading dock logistics
    • Offloading and loading of delivery trucks
    • Delivery of incoming goods to, and communication with, site recipients
    • Packaging of goods, including research samples, for offsite shipment
  • Actively engage in shipment of dangerous goods/hazardous materials in strict accordance with regulatory requirements, including DOT (land), IATA (air), and IMDG (sea)
  • Coordinate outgoing international shipments with 3rd party customs broker
  • Monitor MIDAS Work Request System to ensure Shipping Requests are handled in an efficient and timely manner. This includes persistent communication with clients to ascertain desired timing of shipments and determine most cost effective means to meet their needs.
  • Monitor shared S&R inbox to ensure information provided by clients on incoming shipments is being acknowledged by S&R staff
  • Ensure S&R staff is up-to-date with regards to regulatory and company-mandated training
  • Meet regularly with Logistics Operations Supervisor to discuss staff performance, efficiency improvement opportunities, and facility concerns affecting the area
  • Facilitate unannounced FAA inspections and provide inspectors with requested documentation
  • Facilitate monthly S&R toolbox safety meetings
  • Coordinate licensing with 3rd party software providers
  • Be available for weekday and weekend overtime to assist Logistics Operations with site sample inventory management, including 3,000 unit drum storage facility
  • All other duties assigned by JLL Management.
  • Any and all other duties and tasks assigned.

Education/training

  • Associates Degree

Years of relevant experience

  • 3 year of experience

Skills and knowledge

  • Excellent communication skills with an ability to give presentations
  • Strong organizational skills and attention to detail.
  • Able to operate material handling equipment, such as forklifts.
  • Highly proficient in the use of MIDAS
  • Proficient in Microsoft Office programs, such as Word and Excel

Other abilities

  • Ability to plan and manage work under time constraints, without direct supervision.

Certifications/

licenses

  • Maintain up-to-date library of DOT, IATA, and IMDG regulations
  • Physical work requirements and work conditions
