Proposal Program Specialist – Remote

The Proposal Program Specialist will coordinate and produce the proposal (RFP, RFI, RFQ, etc.) response while project managing a team of contributors across the company. Relying on a depth of previous experience and knowledge around proposal development, the primary objective of this position is to lead the proposal development process for Olive. This includes ownership of planning, development, and launch of the program, as well as internal resource development and enablement. Responsibilities include the introduction and implementation of all necessary proposal procedures and processes. This is a highly networked role that requires an ability to work under pressure and to challenging deadlines.

Responsibilities

The Proposal Program Specialist reports to the Head of Growth, with an expectation of the following:

  • Leveraging industry best practices, develop the overarching Proposal program, including program structure, workflow, procedures and supporting documentation
  • Working cross-functionally with key stakeholders and subject matter experts (SMEs), create and communicate proposal policies
  • Develop the proposal preparation process, including end-to-end procedures from receipt of an RFP through to the publishing of the final proposal.
  • Coordinate and distribute communications for internal teams – including best practices to help successfully bid projects in a timely manner
  • Interpret complex issues and develop cohesive responses; adapt style, tone, and word choice to various channels or stakeholder requests
  • Assist in the creation of new content in response to emerging requirements, in partnership with sales, product, product marketing, infrastructure, security, legal and finance.
  • Assist with written responses to RFPs using information, facts, research and supporting documentation gathered from the RFP knowledge base and various departments/sources
  • Write content for cover letters, executive summaries and other materials as needed
  • Ensure the confidentiality of data and documents
  • Develop internal expertise around RFP best practices

REQUIREMENTS

● Bachelor’s degree in Marketing, English, Communications, or a related field or equivalent experience

● 1-3 years experience writing and/or managing RFP documents, preferably within the healthcare technology industry

● 1-3 years of Project Management

● Proficient with Salesforce or another CRM

● Project Management certification a plus
